(i) Carrying out quarterly inspection as a part of Preventive Maintenance (PM) in accordance with relevant PM checklists and as per schedules that will be prepared upon activation of contract. The salient features in these checklist are as follows :

(ii) Checking the VRF system and equipment such as compressors, indoor and outdoor fan motors and their electrical controls on the respective equipment.

(iii) Checking the refrigeration system for any leaks and resolving the same.
-

-
(iv) Checking the electrical and refrigeration control system for operation and adjustments of set values as necessary.

(v) Lubrication of all necessary points in the system & its components in line with the checklist.

(vi) Cleaning of air filters.

(vii) Inspect and clean control panel of indoor and outdoor units.

Note :- The terms and conditions shall be followed by the contractor for srl item no 01 & 02 above are as under:-

-
(a) The entire work mentioned under ser. item no 1 & 2 hereinbefore, including comprehensive preventive and periodical maintenance of VRF &VRV AC system shall be got executed through OEMs i.e VOLTAS and DAIKIN Company/Authorised dealers. The contractor shall upload the scanned copy of Intent of MoUs with OEMs/Authorised dealers in cover-1, failing which the tender application/ bid will be summarily rejected. The contractor will also submit the physical copy of Intent of MoUs alongwith their application and DD in the office of tender inviting authority prior to bid opening date (cover 1) failing which bid submitted by the contractor cover No. 2 shall not be opened. Tenderers are deemed to have entered into agreement between tenderer and OEMs/ Authorised dealers and valid MOUs on Non Judicial Stamp paper of Rs. 100/- towards same are to be submitted within 20 days to GE from date of commencement of work as mentioned in Work order no 1 provided by GE. In case of non-submission of MOUs within 20 days from date of commencement of work (stated in WO No 1) by tenderer to the GE , same shall be immediately brought to the notice of Accepting officer and contract shall liable to be cancelled on default of tenderer. MOUs shall also cover the scope of work, Guarantee and defect rectification during guarantee period and the aspect that work will have to be completed within stipulated time period mentioned in contract by the OEMs/Authorised dealers.

(b) The tenderer shall have to replace the unserviceable materials with the OEM/authorised dealer materials only. Necessary paid vouchers shall be submitted by the OEM/authorised dealer for the materials like compressor, PCB cards etc. Contractor is responsible for renewable of license fee. The charges for annual govt inspection is deemed to be included in the quoted rates.

(c) The comprehensive maintenance including weekly, fortnightly, monthly, quarterly, half yearly inspection/ testing/ preventive maintenance/replacement of unserviceable parts/ material including labour, transportation etc complete shall be done and quoted cost shall be deemed to include the same.

(d) The complaints shall be attended forthwith as the complaint/ failure from the time to time of receipt of the same. The contractor shall deploy sufficient AC mechanic and helper. Rate quoted is deemed to be inclusive of T&P required to carry out repairs, stationery for upkeep of records, uniform to mechanic and helper etc. The contractor shall maintain the attendance register of personnel deployed for the work and the same shall be put upto the Engineer-in-Charge as and when asked for.

(e) The contractor shall obtain signature of Authorised Representative of GE as token of satisfactory rectification of defects. Any minor complaints requiring no spare parts shall be rectified within one hour and if requiring minor parts, shall be rectified within two hours. Any major complaints requiring major parts/ repair shall be rectified within 24 hrs. In case delay in rectification of minor complaints, a panel recovery @ Rs. 100.00 per hour shall be imposed upon the contractor and in case of delay in major repair of the AC plants for more than 24 hrs and upto 10 (Ten) days, penalty on the contractor for a sum of Rs.2000.00 per AC plant per day or part thereof and Rs.4000.00 per AC plant per day or part thereof after 10 (ten) days shall be imposed. The decision of the GE as to particular repair is minor/ major and a particular AC plant has been maintained or not on a particular day, will be final and binding. The above penalty shall be in addition to the provision made in Clause 50 of IAFW-2249. In the event of burning of motor, a time of 7 days shall be allowed to the contractor for rectification of fault. After that period, penal recovery at the rate of Rs. 2000.00 per day shall be imposed on the contractor.

(f) A complaint register will be maintained by the contractor and the contractor will obtain the complaint from JE/ AGE E/M office on every working day at 0800 hrs or will be informed telephonically by the Dept at any time.Two mobile Nos and two email IDs to be maintained by the contractor to communicate the complaints . After attending the complaints the contractor will obtain the signature from the Authorised Representative of GE every day as token of complaints attended.

(g) The comprehensive maintenance of M/S VOLTAS & DAIKIN AC at VIP Lounge and VVIP receptorium to be carried out under ser item no 1 & 2 above. The work will be carried out under Authorised dealer for comprehensive maintenance of AC Plant all as specified and directed.

(h) AC mechanic shall be experienced in AC plant repairs and maintenance and fully equipped with required T&P.
-
-
-
(j) Contractor shall submit police verification certificates of personnel employed before commencement of work.
-
-
-
(k) Contractor shall carry out daily, weekly, fortnightly, monthly, quarterly, half yearly inspection and report of the same shall be submitted to the Engineer-in-Charge.
-

-
(l) Contractor shall provide the uniform to the personnel employed without any extra cost to the Dept and Cost of the same is deemed to be included in the rate quoted of ser item Nos above and for non wearing of uniform by the personnel employed by the contractor a penalty of Rs. 500.00 shall be levied per person per shift.

-
(m) The contractor shall ensure proper functioning of safety devices.

-
-
(n) The contractor shall stick/ paste safety instructions at inside the cabins of all AC plants with the contact number of operators/ mechanics.
