SCOPE OF WORK and TERMS & CONDITIONS
1) It includes corrective & preventive Maintenance of A.C Machines/Spare Parts incl compressor for Ensuing Uninterrupted & trouble-free performance of the Air-conditioning Machine round the clock.
2) Each unit must be provided atleast One routine service per month, which will be done by authorized Technicians.

Routine service shall consist of the following:
3) Checking of motor bushing, electrical connections at machine terminals, clearing of coils, air filters, Oiling the fan motor and testing the unit for performance in terms of grille temperature, room temperature, current drawn, Drain line should be check & clean etc. after the service is carried out. 4) Gas pressure of AC machines should bechecked every month and noted at service report.
5) The Contract covers free replacement of all spare parts includingcompressor, capacitors, relays, thermostats, fan motors, electrical wiring the unit, indoor PCB, outdoor PCB, contactors,terminals and all others necessary parts which required at AC machine. In case there is a gas leak in the system,

Agency shall carry out leak test and rectify the same. Pressure test, vacuums the system, gas charge the same at the site or at the authorized workshop.
6) In case of Replacement of Capacitors,BURST PROOF P2 TYPE CAPACITOR should be provided.

7) The scope of this contract includes all plastic parts, remote controls,Repairing and Replacement of air filter,cabinet knob, knob cover, blower motor, condenser housing, Cooling coil thermostat switch ,selector switches, Swing motor, Base tray, internal wiring of AC unit etc. all others necessary parts which requiredas a result of wear & tear.
8) All the spare required to be replaced,should be of approved make.
9) The contract covers charging of refrigerant gas similar type provided in the original machine, as and when required.
10) Insulation of refrigerant lines ,if required,in case of Split A.C Machines have to be done by Agency.

11) All the power circuit & control circuit inside the indoor & outdoor unit is required to check.
12) A log book will have to be maintained by the contractor in Department supplied format which shows grill Temperature, Room Temperature, Voltage, current, drain line insulation condition, gas back pressure , Condition of capacitor,Air Filter & Blower Motor is to be made Fortnightly . In case, any abnormal reading is noticed, then the same should be intimated to concerned Junior Engineer and rectify/set right immediately by taking prompt, appropriate & effective Measures/actions.Inspection findings & Action taken thereof should be recorded in the logbooks.

13) In case of break-down of A.C. machines, the restoration should have to be done within 6 hours from the time of intimation of break down to concern contractor. If the machine is required to be removed / shifted to Workshop for more than 6 hours,then a temporary AC machine of same capacity will have to install to cool the work place & no extra claim will be entertain for this temporary AC machine arrangement & dismantling. If loan machine is not provided timely by agency, a penal amount of Rs. 100/-Only per machine per day will be deducted from the contractor’s bill till reinstallation of AC machine.

14) Transportation charges for carrying A.C. machine(s) / spares parts from the site to work shop and vice versa as required will not be paid extra.
15) The philosophy of "Public Interest" would be THE MOTTO of this all-inclusive maintenance; any deviation may be viewed otherwise.
16) The agency will have to depute minimum 2 Nos AC Technician for day shift & 1Nos AC Technician for rest of the day including holidays under his direct supervision.

17) Agency should maintain a separate attendance register (supplied by him& format as per pwd officer) & it will be section office of pwd. In case of absence of any ac technician alternative technician need to provided within one hour failing which charges for that day will be deducted from bill as per schedule per day rate. The executive engineer Kolkata north health electrical division p.w.d. reserve the right to terminate the contract in case of absence of a.c. technician for more than three consecutive days without showing further reason.

18) Frequent change of A.C Technician is not allowed. The A.C Technician should be polite to all.
19) Any damage of parts due to negligence of technician of agency (if detected), will liable for penalty. Penalty amount is the actual cost of the same parts.
20) The contractor should have their office with Telephone number and Mobile number in Kolkataand the same should be intimated to this Department in writing, the telephone call should be responded without delay.
21) The agency should provide photo identity cards to all the maintenance staff employees including substitute’s employee(s) duly signed by concerned agency & JE.

22) Valid license (if any), identity proof etc. are to be furnished for each Technicians in each time engaged by the agency along with the name &contact mobile no. of the personnel and all these information with supporting document are to be submitted in written to the concerned Junior Engineer before taking up the job or if any changes of staffs during job.
23) In case of any accident and/or physical illness of the staffs of the agency, while on duty, no claim will be entertained by this department and all responsibilities thereof should be shouldered by the agency only.

24) No extra charges will be paid except the rate quoted by the agency as per unit per month basis for maintaining the above-described terms & conditions.
25) In case any urgency, Company should send appropriate technician for rectification within 2 hours from the intimation.
26) Agency should provide sufficient Tools and Tackles for smooth maintenance work.Zet Pump should be available at site.

27) In case of any fault in Electrical line of A.C. machine, same to be informed to the floor Electrician and concerned Junior Engineer/Assistant Engineer without any delay.
28) According to the necessity as well as direction of the E.I.C., fault rectification & Machine shiftingjob may be required.
29) An additional Rs. 500/- per day will be deducted from the bill if any deviation from the terms and condition / scope of work is found.
30) The maintenance agency will be held responsible for any damages of the equipment due toimproper maintenanceor mishandling or lapses by him or his staff.

31) Power and Water required for servicing or repair work, will be provided free of cost except handling of same items.
32) The bill for the work should be submitted on quarterly basis along with the photocopy of logbook.
33) In case any urgency, Company should send appropriate man for rectification.

34) one call registerfor entering complains & time and action taken & time of rectification should maintain. Register supply will be in scope of agency & format will be provided by pwd officers. 35) Agency should provide required Tools and Tackles so as to carry out the maintenance work smoothly. 36) In case of any fault in Electrical line of A.C. machine, same to be informed to the floor Electrician without any delay, with a intimation to the concerned officer of PWD.

37) Working condition of “TIMER SWITCH” in each machine should be checked by the contractor every day & if it is found non-functioning or in by-pass mode, it should be brought to the notice in writing to the je/ae (Electrical), P.W.D. Immediately and should be recorded in the log book. Everyday Junior Engineer (Electrical),P.W.D. will counter-sign the log-book.
38) The number of ac machine to be maintained as mentioned in schedule may be reduced for any administrative reason. However, payment will be done as per actual quantity executed.

39) Agency must maintain all spares all time at the site. Minimum quantity of each spares should be two. All kind of refrigerant, should be available at site in 5kg quantity all time. Nitrogen cylinder with nitrogenmust be made available at site within two hours after getting call from the site.
