Sound system
PA system of good quality with sufficient speakers to cover whole of the Expo Ground shall be provided. One Mike & one Cassette Player/DVD Player on Reception cum office shall be provided. At least 10 fixed mics and 2 cordless mics of good quality, sound system (with all necessary modern equipments including echo sound system) shall be provided on the stage.

Electricity
Charges including temporary connection charges, cable charges, rental charges if any, and electricity consumption charges will be born by Event agency. Event agency shall also make required deposits and refunds for the purpose.

(Installation and running cost of 62.5 KVA or as per requirement for effective electrical arrangements silent generators for power back up (all inclusive).

Security (18 daily Security guards (including lady guards) and two supervisors shall be provided by the Event agency from a Certified agency (individual security guard/person should have certificate of any certifying agency) throughout the exhibition period for security of the entire exhibition area, which will be deputed in separate shifts as per the requirement. Event agency shall be fully responsible for the security arrangements of the event, and for any lapse in the security arrangement, Event agency shall be solely and fully responsible. One metal detector gate at the entrance along with two hand devices for security checking shall be made available by the event agency. Security guards will ensure that no inflammable material is carried in the mela premises and that no smoking activity is carried out in the mela premises. The event agency will ensure that any plastic carry bags, plastic cups, plastic glasses or any other prohibited plastic item is not used in the entire mela premises including the stalls and food court. Cleaning & Sanitation
(Daily venue cleaning shall be made by the event manager with provision of two sanitation teams through out of the mela period from 10 am to 10 pm and one dedicated team for public toilets. In addition, at least 20 big dustbins will be provided at different places of the fair ground)

Water arrangements
(All necessary arrangements for safe and clean drinking water for about 400 artisans and general public should be through water dispenser/ water cooler by Event Manager at the mela ground.

Toilets
(The existing toilets of the ground shall be used during the mela period and shall be fully maintained with high level of sanitation (clean 3 times a day) by the event manager with the association of Sulabh Sansthan during the entire mela period.) If toilets are not avaialble in Mela ground then sufficient toilets arrangement should be provide by event agency.

Fire fighting arrangements
(All necessary and sufficient arrangements for fire fighting with provision of minimum 30 fire extinguishers shall be made by the Event Manager.)

At least 250 no pots with green plants/seasonal flowers and décor with farries to be provided and maintained throughout the Fair period.

The exhibition area during the entire period of Mela with sufficient no. of infrastructure supervisor, electricians, generator operators, etc. volunteers.

Fire safety measures
The Event Manager shall be fully responsible for ensuring all fire safety measures required to be undertaken for the event. He shall also ensure all fire safety measures throughout the mela period. All electric wires & connections must be covered properly with PVC pipes etc. all permissions/NOC from Government departments to be taken by Bidder.

Balloons
A big balloon displaying RGAVP and SARAS FAIR will be invited in Mela ground. A flax displaying the Ranthambore tiger reserve to be installed at the entrance gate and a balloon with a tiger display, along with RGAVP, and SARAS FAIR.

Full time Announcer
The event agency shall provide one full time announcer throughout the entire mela period. The event manager shall get the announcer approved from RGAVP before the beginning of the mela.

Opening Ceremony
All necessary arrangements for opening ceremony including flower decoration of three entrance gates, devara, entrance way from main entrance gate to second entrance gate, bouquets, garlands, deepam, statue of Lord Ganesha, dhoop, roli, moli, ghee, batti, ribbon, scissors, decorative thali, refreshments of good quality for approx. 100 guests to be made by the Event Manager. Shehnai Badan (2-3 members) to be made available for inauguration ceremony

Closing Ceremony
All necessary arrangements for closing ceremony including bouquets, garlands, 10 to 12 award trophies and refreshment of good quality for approx. 400 guests to be made by the Event Manager.

The event manager shall provide facility of professional photographer and videographer for covering all important functions, stalls, infrastructure, media publicity materials, cultural events, VIP visits, etc. At least 100 photographs prints along with images in CD, 3 DVD copies having video documentation of each stall showing full view of each participant artisan, products displayed & infrastructure provided in the stall, DVD Master Copy having video documentation of all important events of the mela and 3 DVD copies having original and edited version of all important events of the mela, shall be delivered by the event manager to RGAVP.
