Retreat ceremony platform Area : Construct and Maintain Platform for Retreat ceremony (30ft. x 30ft.) using wooden platform and covering red carpet and approach pathway: 1.) Agency need to maintain Height of platform up to 300 mm using 19mm wooden platform. 2.) Approach pathway area need to maintain. Maintenance/replacing/reinstallation of wooden platform throughout the event period is part of scope of work. The platform should be ready before Two day of Inaugural Function. The agency will have to construct pathway in Retreat ceremony and also adjoining/surrounding it without any extra cost. Mode of measurement: the actual work executed on site based on the measurements are to be considered as per scope of each item.

Retreat ceremony Structures : Flag post, saluting base and other item Raised wooden platform on 19mm platform for flag post, saluting base, and other items. 1) The flag post approximate area 25 Sq.ft. of 3 steps varying 1ft ht. at each step using wooden ply and painting work with carpet or as per requirement of Collectorate office, Jaisalmer/ BSF inclusive of national flag and SS pole as per requirement of BSF. 2.) The saluting base of 10ft. X 10ft wooden platform with carpet of ht. 6 inch. 3.) The visitor feedback area with table is part of scope of work. 4) 4 nos. of brass Pole 4 inch dia. and ht. 2.5ft. at the four corners connected with intermediate support covering approach existing pathway with Brass chain fencing boundary covering whole platform for retreat ceremony 30 ft. X 30ft. and existing approach pathway approximate 60 mtr. 5.) Fort wall design using flex wall 15ft X 30ft x 1 nos and 15ft x 200ft x 1 nos. for retreat ceremony platform with proper supports and bracing. 6) Brass Plant Potter 30 nos. If any Material damages during the event period than replacement is a part of scope of work.

Retreat ceremony seating platform: The agency shall have to construct, restore and maintain seating platform in the area of 5mt X 60mt x 2 nos (600 Sq.mt.) on both side in the Retreat ceremony area. The platform shall be constructed using Stepped Arena Seating for Stadia Creation using Prefabricated Steel Arena Structure of 6 Steps with Imported Molded Bucket Seats. It will be a six level stepping up theater type seating platform having at least 1.5 feet of each riser, with proper slope and storm water drainage system. The agency shall have to construct with the best material having capacity to resist high temperature and wind velocity. The agency shall have to construct three ladders on each side of platform for movement. with each riser height not exceeding 5 inch. The construction shall be done as per approved plan of Collectorate office, Jaisalmer/ BSF and shall be subject to modification as per officials instruction. Mode of measurement: on actual based. If any Material damages during the event period than replacement is a part of scope of work .

Cafeteria area near BOP at existing structure with proper Seating arrangements for public. Carpet, Table, Chairs, fans, necessary lighting etc. as per requirement. No furniture is measured seperately. It should be ready 2 days before opening of the event. The successful bider shal have the first right of operation of the cafeteria subject to the conditions decided by District Administration. If any Material damages during the event period than replacement is a part of scope of work.

Watch Towers : For Watch Towers steel structures are to be properly anchored with ground surface shall be erected of size 15ft x 15 ft x 20ft (h). H Frames/ Cuplock scaffolding is to be used. Working platform is to be provided with suitable material with necessary anchorage, adequate railing and staircase. Structural stability of the structure has to be ensured. The structure should be ready before one day. Mode of measurement: Mode of measurement shall be unit no. based.

Ambience: - Theme Ambience to be proposed by the Bidder: The Ambience shall be proposed by the bidder and same shall be finalized in consultation with Committee member of Collectorate Office, Jaisalmer. It is to be erected as approved by Collectorate Office, Jaisalmer and BSF and as per presentation conducted. Preparation and erection of 1 Nos of Cut out letters of 5ft of height, Installation of BSF - 2 Nos, Decorative Flags- 50 Nos and Bunting- 50 Nos is part of scope. Necessary changes suggested by Collectorate Office, Jaisalmer anda BSF shall be incorporated. Mode of measurement: based on actual work executed on site as instructed by officials. If any Material damages during the event period than replacement is a part of scope of work.

Water counter with water proof pagoda structure At 1 location and Supplying, Arranging, providing Mineral water at the venue including RO, water purifier, disposable glasses including garbage collection & disposal system & 1 person to serve the water at counter shall be provided by agency for entire event period. water supply connection will give by department. Mode of measurement: no. of water distribution counter.

Parking area for VIP/General at 2 Locations: Develop and Maintain Parking area For 500 four wheeler parking as per requirement of Collectorate Office, Jaisalmer is to be considered. The proper chowk marking should be done in concern with Collectorate Ofice and BSF and need to arrange proper team to prepare parking area daily is a part of scope of work. The work will involve site clearance, Marking of approved parking plan (lineout) on ground with lime, developing entry and exits for two wheelers and four wheelers. Proper parking plan is to be made to ensure total no. of vehicles to be parked as per requirements/discussion held with Collectorate Office and BSF. Ensure concerned site maintenance for entire event period. Development of related approaches inside and outside for parking area is part of scope of work. Mode of measurement: Based on actual work like levelling executed on site shall be measured. Maximum limit up to 10,000 SMT.

GI/MS-pipe/Low height barricading for parking & other areas: Providing & fixing GI sheet barricading of min 1.25 mtr height / MS pipe barricading with proper structural support, properly connected & shall be stable enough to stand self load. Agency shall ensure proper alignment & uniform height. Mode of measurement: based on actual work executed on site as instructed by officials.

Cloth barricading: Providing & fixing cloth barricading with proper wooden/ steel support covered with both side white/decorative cloth. Cloth shall be stainless & wall shall be in plumb and minimum 1.00 to 3.00 mtr height as per requirement on site. Agency shall ensure proper alignment & uniform height & color. Mode of measurement: based on actual work executed on site- as instructed by officials. Agency have to change the cloth every three months compulsory is a part of scope of work.

Signages: Agency shall provide, print & fix different types of signage's at BOP, Tanot Mata Mandir & approach roads including highways - as instructed by officials. The signage's shall be provided by way of proper anchoring/foundation, steel framing , bracing etc as to ensure structural stability in heavy wind velocity, during entire event period. The signage's made of vinyl flex, painted ply cutouts, vinyl's as per creative designs which includes logo of Rajasthan Government as and when applicable, in all languages as instructed by officials. The bidder shall submit the size, layout, color scheme of each & every signage type as annexure B along with technical bid. in following dimensions (a) Welcome signage/ branding signage- in and around of venue -as directed by officials : Dimension : 3 feet * 6 feet All signage's maintain, reshuffling, replacing damage signage is a part of scope of work.

Providing Hoarding Signages on BSF related slogan (BSF javan life, flora and fanna, art & craft culture) at various location with all detailing dimension : 8ft x 8ft (Periodic checkup of all signages and maintenance/restoration is a part of scope of work.) All signages maintain, reshuffling, replacing damage signage is a part of scope of work.

Electrical items and facilities cabling and electrification- The total electricity work for the event is fully to be carried out by the agency from the point of power connection. Provision of console arrangement , Truss based Lighting arrangement, decorative lighting, par light, led light, and 4 way sound system, speaker on stage of retreat ceremony as per the requirement by officials is the part of scope of work. Provision of fans/coolers for VVIP's on inauguration day, Closing ceremony day and for all entire event days, as required by officials to be provided on dome, weapon displaying area, retreat ceremony. Creation of necessary ambience is a part of scope of work. Provision of podium mic, cordless mics, corded mic mixer, amplifier, processors, effect rack units and other necessary facilities and instruments is part of scope of work. Overall lighting including Weapon displaying area dome, seating area, exterior area of dome, parking, toilets, amenities, pathways, entrance, ambience lighting etc is part of scope of work. Instruments, fixtures, cabling, wiring, panel board, MCB, LCB, Distribution board, earthling etc are included. The arrangements as per instruction of officials are to be provided considering Inauguration and closing ceremony, daily performances and other activities. Dome lighting is to be provided as per suitable theme so as to give optimum visibility to viewers. Safety aspect as per applicable norms are mandatory to provide and taken care of by agency. CCTV camera in the venue with set up of controlling as per BSF requirement. Permissions and necessary administrative Liasoning with local administration and electricity board will be done by the Department.

Fire-fighting, extinguishers at each locations: P/F Fire extinguishers, sand buckets, water barrels etc. is to be provided as per standard requirement at all venues as per applicable norms

Floor covering: P/L whole area with SIngle layer Agro net flooring for all areas of venue except for the structures and parking. The layer shall be compulsorily a brand new covering. The agency shall be responsible to restore, maintained and replace as per need/instruction of Collectorate Office, Jaisalmer and BSF. The objective is to make entire venue dust free. Proper leveling and cleaning of land is to be ensure before the laying is a part of scope of work. Mode of Measurement: Based on actual work executed on site in Sq.Mt..

Event management during Entire Event Days: During Entire event 1no. of Supervisor and other staff like labor, sweeper, electrical manpower, housekeeping staff, Parking area management staff and other related activity at weekend and public holidays and as per instruction of officials. 200ml Bottled water shall be provided by the agency on weekend days during visit of Dignitaries/VIP/Media as per instruction of officials. Agency shall be responsible to conduct the total event as per the plan by supplying, providing, the necessary ancillary items as well as providing the necessary services including the cleaning surrounding area and tourist area and Keeping tourist spots and the way suitable for the tourist visits and including waste disposals facilities with dustbin. The providing necessary services as per the event requirement from time to time is within the scope of the work.

Weapon Display Area : Water Proof Dome with Decorative Covered Canopy at Entrance: The structure should be above 300mm with raised 19mm wooden platform Designing and Execution of Art Gallery on "Tourist Destination of Jaisalmer and History of BSF" as decided and approved by Collectorate Office, Jaisalmer and BSF.: The necessary dome at Prominent location instruction by Collectorate Office, Jaisalmer might be at BOP area shall be created/installed with steel frame/Tin Shed/ Truss type structure sound against the severe and frequent wind forces, heavy rains and other forces of the area. The use of fire retardant material and water proof material as per requirement is mandatory. The height of the dome shall not be lesser than 3 mtrs. The entire dome area shall be raised with up to 300 mm wooden platform with two coats of fire retardant paints including carpet. The venue is to be cleaned, leveled, and dressed with proper material. The ground leveling dressing work is a part of scope of work. The use of fire retardant material and water proof material as per requirement is mandatory. Providing dustbin garbage disposal is part of the scope. Agency need to cover external and internal all four sides with using theme decorative flex with frame of ht. 8ft to 10ft as per requirement is a part of scope of work. Restoration and maintenance of Synthetic carpeting, furniture, electrical appliances, and other related material in dome area, internal lighting and fans in the entire area is in the scope of the work and shall not be measured separately. The roof shall be of water proof material preferably of SRF material. The false ceiling shall be appropriately made. The scope include to provide and to install decorative lighting, fans plug points, CCTV, decorative items and elements, suitable furniture for weapon display as per instruction of BSF. All wiring should be in FRLS (ISI mark) & in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthling and should be totally protected by heavy rain. Agency need to put name tag on display material as per instruction of BSF. Agency need to execute name tag printing, sticking, and maintain throughout the event period is part of scope of work. Agency need to provide related furniture setup like chairs, tables, etc is a part of scope of work. The dome will have weapon displaying area in C-shape covering low height barricading with proper entry and exit separately. Agency need to name displaying each and every weapon (Printing, sticking and maintaining throughout the event period) is a part of scope of work and shall not be measured separately. Agency need to provide structural stability certificate. Mode of measurement: built up area (out to out dimension of walls). Outside porch and external passage shall not be measured. Barricading, Carpeting, raised platform, internal furniture, internal lighting and related all electrical instruments/equipments general lighting (Tube lights, par lights, metal, halogen, fans etc), ELCB, MCB, wiring, etc and related electrical items, displaying area with all setup shall not be measured separately and part of scope of work. The photos/flex should be of good quality and legible from a distance of viewer's path. If required the passage for viewers movement shall be created and barricated with appropriate material. The scope include entire responsibility of designing and executing the Art Gallery . The structure shall be made with box type wall of 8 mm Plywood in framing of wooden batten/steel sections including two coats of Fire Retardant Paint, waterproof roofing shall be of G.I. sheets or equivalent with suitably braced and tied steel structure supported on truss and purlins, with upto 300 mm raised platform using 19mmthick Fire retardent Plywood covered with synthetic carpet/woollen carpet as per requirements. False ceiling made from Gypsum Board/ PVC/Ceiling Tiles. Fire retardant paint shall be applied on false ceiling, and internal and external walls. P/F suitable doors with approved fixtures. Porch to be provided. here will be flex printed materials photographs description depicting the message as per Theme. The scope shall cover decorative lighting, plug points and air conditioning. Enough entry and exits/Emergency exits should be planned. Ensure minimum height of 7-10 Mts. Mode of measurement: Built up area (Out to Out dimension of walls) in plan shall be measured of structure.

Children's Park Area: Approximate Space planning for 1000 Sq.Mt./ for Children Park (sports activity area) has to be done in planning proposed layout by bidder. Approximately space of 1000 Sq.mt area for theme pavillion has to be done in planning. Agency need to do proper land levelling, it is part of scope of work. Necessary power through electrical feeder at nearest one point to be provided for Children's Park (sports activity area) with necessary cabling, panel board, distribution bords, etc. is a part of scope of work. Agency need to Plan and Erect Children's Park as per concept presentation.

Event promotion through Print / Social/ Electronic Media. 

Bar-code based checking / Monitoring System : - The vender shall ensure that a bar-Code / QR Code based entry monitoring System is in place for record keeping purpose. A System should be able to communicate with on line permit generation system developed by District Administration independently.
