Project Title Procurement Of Janitorial Services For The Regional Office Of Btr Region Iv-b (mimaropa) Located At The 3rd Floor, Tom’s Place Building, D. Silang St. Corner De Jesus St., Batangas City. To Ensure A Clean And Conducive Working Environment For Its Employees And Clients, Btr Rivb Shall Procure From A Reputable Agency, One (1) Janitorial Service. 2. Background The Bureau Of The Treasury Seeks To Secure Janitorial Services For Its Office In Line With The Bureau’s Commitment To Efficient Operations And Timely Service Delivery. The Procurement Process Shall Be Processed To Ensure That Btr Sustains A Clean And Hygienic Working Environment For Its Employees, Visitors, And Stakeholders. Moreover, It Aims To Expedite The Selection From Reputable Janitorial Service Agency While Adhering To Legal And Procedural Requirements. A Reputable Agency Of Janitorial Services Is One That Consistently Delivers High-quality Cleaning Solutions And Demonstrates A Strong Commitment To Customer Satisfaction. 3. Agency Budget Estimate The Bureau Of The Treasury, Through The General Appropriations Act, Intends To Apply The Sum Of Two Hundred Two Thousand Pesos Only (₱202,000.00), Inclusive Of All Applicable Taxes, Being The Approved Budget For The Contract (abc) For The Procurement Of Janitorial Services For The Duration Commencing On January 1, 2025 To December 31, 2025. Quotations Received More Than The Total Budget Estimate Shall Be Automatically Rejected. 4. Scope Of Service And Requirements It Is Essential To Define The Scope Of Work To Ensure Alignment Between The Btr’s Requirements And Services Offered By The Potential Providers. Outline Of The Minimum Tasks, Responsibilities, And Expectations Involved For The Hiring Of Janitorial Services For The Bureau Of The Treasury Are As Follows: A. Daily Task And Responsibilities: 1. Daily Cleaning Of Office Spaces, Including Workstations, Meeting Rooms, Corridors, And Restrooms 2. Sweeping, Mopping And/or Vacuuming Of Floors 3. Dusting And Wiping Of Surfaces, Furniture And Equipment 4. Emptying And Disposal Of Trash And Waste 5. Cleaning Of Glass Surfaces, Walls, Windows And Mirrors 6. Maintenance Of Restrooms, Including Sanitization Of Fixtures And Replenishment Of Supplies 7. Periodic Deep Cleaning Of Chairs/upholstery, Tables, Cabinets And Blinds 8. Polishing And Buffing Of Floors, As Necessary 9. Maintenance Of Pantry Area And Its Materials And Equipment 10. Special Cleaning For Events Or At High-priority Areas, As Requested 11. Provision Of Cleaning Materials And Supplies, As Agreed In The Contract 12. Compliance With The Minimum Health And Safety Protocols As Implemented Within The Bureau 13. Other Janitorial Duties That May Arise From Time To Time And Deemed Necessary In Carrying Out His/her Duty B. Deliverables: 1. A Clean And Well-maintained Working Environment 2. Regular And Scheduled Cleaning Services As Per The Agreed-upon Frequency 3. Timely Response To Special Cleaning Requests Or Emergencies C. Qualifications And Requirements: 1. Experience In Providing Janitorial Services In An Office Environment 2. Trained, Skilled, And Willing To Learn Various Cleaning Techniques 3. Adequate Knowledge In Using/operating Cleaning Equipment 4. Knowledgeable In The Proper Waste Disposal And Environment Regulations 5. Willing To Accept Flexible Work Schedule 5. Supervision And Control The Janitorial Personnel Shall Be Under The Direct Supervision Of The Regional Director Or Her Designated Officer Who Shall Also Be Responsible In Overseeing The Daily Activities Of Janitorial Personnel, Review And Approve All Work Outputs, And Report Any Irregularities Or Deviation From The Agreed Contract Of Service. The Janitorial Service Agency Shall Objectively Dealt Any Report Of Irregularities Or Deviation. The Agency Is Expected To Exercise Discipline, Supervision, Control And Administration Over Its Personnel In Accordance With Laws, Ordinances, And Pertinent Government Rules And Regulations. 6. Terms Of Payment For And In Consideration Of The Contract, Payment For The Janitorial Services Provided Shall Be Made Monthly And Upon Submission Of The Monthly Billing Statement And Daily Time Record Of The Concerned Agency. 7. Reservation Clause Parties Concerned Shall Agree All Other Terms And Conditions Necessary In Carrying Out The Procurement Process. The Bureau Of The Treasury Region Iv-b (mimaropa) Reserves The Right To Reject Any Terms Deemed Unnecessary Or Disadvantageous To The Bureau, Without Thereby Incurring Any Liability To The Affected Provider. 8.
