Air Conditioned Exhibition Hall 1 Water Proof Aluminium German Hanger (AC) with Glass Door braced and tied with minimum side height of 6M made of aluminium extrusions with base plate that are anchored to the ground and covered with SRF material that is fire retardant. The hanger structure should be able to withstand wind speed upto 100 KMPH. The Hanger will be completely weather proof and with adequate number of entry exit points including emergency exit with proper Aluminium and Glass Doors.Roof covered with good quality PVC Fabric cover (SRF), ceiling with Theme Based cloth Drapping and creating themtic side wall, Interior work as per the usage and purpose of room. Performance Stage: Main stage to be made for suitable participants to perform for Inauguration function with multilayer from 5ft to 8ft height and remaining others days. Provision of tower A.C for VVIP's if require. Providing necessary floral and theme decoration, banners, New carpets on floors. If any modification alteration/addition on site is required same shall be made immediately without any extra charges to complete the job as directed by the Visualizer, Art Director and Department. Ensure structural soundness of entire structure. The stage should be certified by competent Structural Engineer and Approved from PWD Dept. There should be double level of plywood as per Department instruction. Creation of necessary ambience and black masking is a part of scope of work. Seating arrangement on stage should be done as per requirement of Department. Reshuffling of sitting arrangement with schedule and crowd of the event/program shall be arranged without any extra cost. Movement plan shall be provided. Seating arrangements, Ambience with Elevated platforms for photography, Media riser & console and other related activities shall be constructed using steel support system and should have proper leveling and steps for access. Preparing Steps/Stairs/Ramps with proper dimension for all different levels is part of scope of work. Masonry wall of about 30cm height with Plaster and paint finish shall be constructed around entire area of stage if required. All wiring on and around stage should be in FRLS (ISI mark) & in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthing. Staging on steel supports scaffolding is mandatory.The wooden stage/deck to carry 500 kg per Sq.Mt. load with Steel H frames, Adjustable props or cup lock scaffolding only with suitable steel supports and stepped floor with 19 mm thick Plywood sheets including two coats of Fire Retardant paint. The supporting steel scaffolding to be provided with base-plates and diagonal bracings in both directions. Ensure minimum size of 40NB dia pipe B class for any steel supports and 150*150mm the base plate 8/10mm thick for all supports. Ensure proper strengthening & stability of lightning trusses and other element kept for ambience as directed by Department. Aesthetic railing and a ramp shall be provided. Provision of console arrangement with cover over console platform and media platform on instruction of Department and Light, 5/15 amp plug points, fans, AC on stage as per the requirement of Department is also the part of scope of work. The colour synthetic New carpet to be laid on plywood with necessary flower arrangements as approved by Department. Providing Presentation Stage/Dias arrangements as per the requirements of Committee members with executive chairs, Wooden chairs, Tipoi, sofa, presentation desk, podium with branding, plasma TV with thematic theme based side wing. Air Conditioned Green Rooms (Male & Female) : Pagoda structure (5m x 5m ) framing with roof covered with coloured waterproof and fireretardant fabric / good quality SRF material, ceiling with white fabrics, up to 200 mm raised wooden platform using 19mm thick Fire retardant plywood/ block board, necessary braced and tied octonorm cubicles covered from top, synthetic carpet, door curtains, storage racks, chairs, fans, stair, mirrors etc as per requirements of choreographer in all rooms/stalls. The proposed green rooms should be adjoining the stage side of the event dome. The scope shall cover proper internal lighting, fans, plug points. The green rooms shall be provided in a covered/tin barricading space with drinking water facility and adequate, good quality temporary two no. toilet blocks (one for male and one for female) with adequate drainage arrangement shall be provided and it should be made functional from before two days of event opening. The construction shall ensure proper privacy. VIP and VVIP Lounge inside cultural dome with pantry made of 6mm ply partition with wall paper/carpet on wall etc with all high end furnishing inside the culture dome with required seating arragment and attach washrooms. Stage Light (For all event days) : Main Stage Box truss Lighting including required Truss (Truss Specifications: Beam Section- 1010mm x 530mm, Main Tube - 60mm x 6mm/5mm , Tower Section- TD 44 / 530mm x 530mm Main Tube - 60mm x 6mm/5mm, (Truss Certification to be attached). *Note : Mast Tower section less than TD 44 / 530mm x 530mm shall not be accepted due to stability and strength issues.Need to do proper Black/white colour cloth masking to truss/scaffolding/tower is a part of scope of work also need to do PCC RCC foundation (If required) for strengthing purpose is a part of scope of work). Front Of House 06 pairs (12 nos.) flying rigs. The agency shall have to provide stage gears for Bass, guitar, key board amp, and related equipments as per need. Delay Stacks shall consist of four Pair Flying Line Array accompanied by prescribed no of Sub’s Approx. 36000 Watts. The same will be used elsewhere as per requirement and instruction of department (As per direction of committee, in this regard the decision of engineer in charge will be final and binding).

Digital Mixing Console -Soundcraft/ Avid S6L 32D / DiGiCo SD7 / YAMAHA/DiGiCo SD equpvalent (As per direction of committee, in this regard the decision of engineer in charge will be final and binding).

Monitors for theatrical production shall be flown on the truss & not placed on the Stage therefore should be capable of flying. Wedges for Live performances could be Martin, JBL, NEXO, MEYER SOUND, D.A.S. Front of House Equalization must employed the digital equalization system from XTA , GALAXY, Klark teknik. (As per direction of committee, in this regard the decision of engineer in charge will be final and binding).

Cordless Microphones SENNHEISER 5200 or SHURE UHF -R / ULX -D or equpvalent recommended. (As per direction of committee, in this regard the decision of engineer in charge will be final and binding).

Screen size total 600 Sq.ft. To be erected, on main stage (rear edge), configured to run with WATCHOUT system & Resolume Arena Systems (but w/o Watch out). The rate should be including Truss and back drop with masking arrangement as per instruction of Department. Need to do proper Black/white colour cloth masking to truss/scaffolding/tower is a part of scope of work also need to do PCC RCC foundation for strengthing purpose is a part of scope of work if required. LED indoor screen (For General Audience): LED screen of P2/P3/P4.8 mm pitch (As per the requirment) of 16X12/16X14/ 8x 12 ft c/w long distribution cabling. The rate should be including Truss / Wooden Raiser with masking arrangement as per instruction of department. Watchout Server & Resolume Arena Systems :- Supply, installations, of watch out server as per requirement for the entire event period. Note: The Content/Theme developing part will be suggested/decided by chreographer as per requirement. Charges for content developing and theme will be paid seperately. Full HD/SDI 1080i Video Console Setup with Required Cabaling : High Definition Technology to be used & Recorded with HD Recorder on HARD DISK with four cameras online and 2 camera mobile. Switchers and arrangement for the OB VAN outputs including cabling & isolation transformer & proper earthing etc. as per requirement, a monitor to be placed for viewing for all event days. Temporary Kitchen with store and satelite kitchen with wash area arragment as per requirment :P/E braced and tied steel Structural framing with roof covered with coloured waterproof and fire retardant fabric / good quality SRF PVC material, ceiling with white fabrics with 150mm to 300 mm raised wooden platform using 19mm thick plywood/ block board with fire paint. Provision of Kitchen (Min. 100 Sq.Mt.) using G.I. sheets panels as per the requirements with proper paved flooring, lockable store room, door curtains, storage racks, etc. Providing Porch with carpet and wooden platfrom, Stairs, ramps, railing and other related is part of scope of work. The scope shall cover proper internal lighting (tube lights, metal, par, halogen, LED, fans and minimum 5 nos. of (5/15 A) plug points, etc.) as per requirement. Water supply and Drainage: (For temporary structures only ) From nearest available source to the individual structures, toilets, wash areas through GI pipes elevated steel structures, PVC water tanks, valves etc. with adequate pressure by installing pressure pumps. Adequate drainage facilities either by providing soak pit or by providing intermediate chambers and S.W. /PVC pipe lines to connect the existing nearest manhole as and where required. Continuous and adequate water pressure shall be ensured by the bidder. Mode of measurement: Shall be lump sum basic. Electrification Liasoning Work: Providing services for the event as per requirement of load. Electrical Inspector approval: Entire venue electrification & temporary power connection and electrical installations from Electrical inspector office and other local authorities. From supply point to individual load point power should be distributed with proper safety precautions and properly rated materials. General Lighting should be provided in entire venue. Decorative lights, series shall be provided along the roads surrounding the venue. Getting approval from Electricity Board and Electrical inspector for main power source as a temporary base. DG Set : Temporary Providing and testing silent (Soundproof/ Acoustic) DG set of following sizes, including of fuel required for running DG set with the spare stock. DG sets should be running full load during the event performing time, during the contruction and event must be run on DG sets Daily . no other permanent power given by the department, Daily testing of DG set is compulsory & should be carried out in presence of Consultant/ Electrical Inspector. Govt. Duties should be paid as per the norms, payment receipt should be made available on site. Agency to shoot and compose the photo Album of event date wise, VVIP - VIP, Tourists Visit, different activities, Surrounding Locations and Sights, Culture Program stage , All over ambience, structure, etc. Agency to submit softcopy by way of hardcisk in duplicate printed date on thehardcisk/pendrive and Karizma/Offset Album of size 12" X 15" or 12" X 12" with 300 nos. photos. Including of providing telecast of live on social media (Facebook, Youtube & Instagram) with require camera output and including cabeling. The scope of work also inculdes audio and video output to OB van and doordarshan and any other Channels service provider as directed by authority. Agency need to provide all necessary equipments and other related materials (including jimmy jib crane,4-camera, etc.) The programme shall be shown live on Tvs channels, facebook, youtube etc. The bidder shall be responsible to provide internet connectivity of 1 GBPS and necessary at outlets. HD Videography: Agency to arrange, HD Video shoot for all days of the event date wise, VVIP - VIP Visit, Tourists Visit, different activities, Surrounding Locations and Sights,Culture Program stage, All over ambience,structure, etc. Agency to shoot and edit the video and to submit the hardcisk of edited video. Pre-event days Security services for entire day: Making arrangements for security guards in traditional uniform for 3 days prior to event. Auditing pre-event security at the venue, analysing of security audit report for pre- event days. (guards, bouncers, metal detectors) at all gates, VIP Lounge etc,back stage and VVIP seating areas covering entire venue . Security arrangements to be made at all parking areas fixed for the event by PWD within/outside the venue. Audience/crowd control and management for events dor stipulated scop of works within the Venue is part of scope of work. Submit development plan & List of Personnel to be deployed. Age group of security guard shall be between 25 - 45 years only.3 days prior to event (3 days) (10 security x 3shift x3 days) (As per direction of committee, in this regard the decision of engineer in charge will be final and binding)

Making arrangements for security guards in traditional uniform for five days of event. Auditing event security at the venue, analysing of security audit report for event days. (guards, bouncers, metal detectors) at all gates, VIP Lounge etc,back stage and VVIP seating areas covering entire venue. Security arrangements to be made at all parking areas fixed for the event by PWD within/outside the venue. Audience/crowd control and management for events door stipulated scope of works within the Venue is part of scope of work. (Ensure 100 Nos. of Security guard at any point of time during 24 hours a day) Submit development plan & List of Personnel to be deployed. Age group of security guard shall be between 25 - 45 years only. payments shall be made on pro-rata basis , if events days at ahmedabad are reduced or increased. SERVICES: - Housekeeping (with tools, equipment, consumables etc.): Event Contractor shall have to consider all the service staff from mobilization to demobilization from site, consumables, equipment, tools etc. Providing Sweepers for General cleaning of the entire venue, themege disposal, cleaning of food stall area, craft stall, water counter, entiry gate and surrounding area, stage area and toilet cleaning with two teams operating in each block in uniform. Providing Min. 80 No’s of dustbins to maintain venue proper hygiene is a part of scope of work. Consider all Swachta Abhiyan Norms. Providing skilled manpower like electrician, mason, plumber, carpenter, technician etc as required. Manpower deployment plan is to be submitted to the PWD /Professional Advisor. Bidder will be resposible for food stay lodging boarding and transportation uniform and any other related charges is a part of scope of work. Entire housekeeping works for Beach area and Green rooms shall commence from two days prior the event and for other structures within Venue before one day. German aluminium temporary hanger/Pagoda with made of aluminium extrusions with base plate that are anchored to the ground. The hangar structure should be able to withstand wind speed upto 100 KMPH.The Hangar will be completely weather proof and with adequate number of entry exit points including emergency exit with proper Aluminium and Glass Doors.Roof covered with waterproof and fire retardant fabric / good quality PVC Fabric cover (SRF), ceiling with Theme based fabrics. Interior work as per the usage and purpose of room. Partitions shall be made in prefabricated aluminum sections (ht. up to 2.50 Mts.) with laminated panels with arrangements for doors, glass windows for conference room and reception area with waiting lounge and providing necessary tables, sofa, chairs, dustbins, theme, pantry and drinking water facilities, providing Porch with carpet and wooden platfrom, Stairs, ramps, railing and work station for telephone and fax line is a part of scope of work. Providing150 to 300 mm raised platform with 19 mm thick Fire retardant Plywood/block boards supported by wooden logs and covered with good quality of synthetic carpet. Front facade with minimum 6 mm ply fixed on wooden/steel frame work and painting etc. complete. The scope shall cover to provide general lighting, fans, AC, CCTV Cameras having control in Administartion Office. Necessary electrical points (5/15A plug points), wall fan/ ceiling fan/ padestral fan/ exhaust fan as per requirement, General lighting (using Tubelights/PAR lights/Metal/Halogen/CFL/LED lights, etc.) for inside dome and for preparation of fascade as per theme approved by Department as per Instruction is a part of scope of work. The lights should be enough upto the satisfaction of Department and if required extra lighting shall be done without any extra cost. The entire area should be air conditioned and temperature should be maintained between 23 to 26 degree Celsius equally distributed. Agency need to Internal and external sides cover with using theme decorative flex with frame of ht. up to 10ft minimum as per requirment is a part of scope of work. All materials have to be fire-retardant material and necessary documentation evidence/certificates are to be provided. All wiring should be in rigid PVC conduit protected with ELCB & voltage stabilizer & dedicated earthing. The structure should be ready before five days. Mode of Measurement: - Built up area (Out to Out dimensions of walls) in plan shall be measured of structure. Outside porch and external passage shall not be measured.
