Description Scope Of Work: The Contractor Should Provide The Following Services: 1. Hauling And Barcoding Of All Records Boxes: A. From Existing Service Provider To The New Offsite Storage Provider B. From Ipophl To New Offsite Service Provider 2. Migration Of Records Database Inventory To The Offsite Computer System 3. Storage And Safekeeping Of Records 4. Retrieval And Delivery Of Records To Ipophl, Whenever Requested 5. Timely Submission Of Monthly Transaction Report To Ipophl Account Officer Qualifications Of Service Provider 1. The Contractor Must Have A Minimum Of 10 Years Experience In Providing Offsite Records Management Storage Services (stated In Their Sec Registration) 2. Must Have Licensed System (records Management And Inventory System Software, Preferably (or Can Migrate To) Rssql O'neil System For Tracking And Barcoding (for Verification) 3. Assigned Account Manager Must Have At Least One (1) Training Per Year On Records/document Management For The Last Three (3) Years 4. Web Order And Online Inventory Viewing Available 5. Fully Compliant With Ra 9514 (revised Fire Code Of The Philippines), Provide Most Recent Certificate Of Inspection/compliance. 6. Monthly Pests Control, Provide Latest Reports, As Required. 7. Updated And Recently Tested Business Continuity Plan (2022 Or Earlier) 8. Iso 9001 :2015 Certified (philippines) Please Provide 2021 Or 2022 Certificate 9. The Service Provider Has An Existing Policy On Gender And Development (gad), Or Willing To Formulate Within The Contract Period. 10. At Least One Valid And Current Certification In Connection With Records Management By An International Organization. 11. Must Have An Emergency Preparedness Response Unit On Standby 24/7, 365 Days In A Year Within Its Premises. 12. Must Have Fire Fighting And Flood Prevention System Installed Requirements 1. Exclusive Use Of Resources For Records Management (warehouse, Facilities, Vehicles And Personnel) A. Company Owned And Used Exclusively For Records, Storage/archiving B. Located Within 20 Kilometer Radius From Ipo (at Most) C. With 24/7 Security Guards D. Cctv Cameras (with Back Up) In And Around Its Premises E. Vehicles (company Owned) F. With Onsite Generator G. Well Ventilated H. With Updated Fire And Calamity Insurance I. With Telephones, Copier, Computer, Scanners Etc. 2. Procedures And/or Documented Systems On : A.
