Description One (1) Year Preventive Maintenance Of Ipophl Network And Ip Pbx Equipment Fy2024: Technical Requirements: I. Purpose: The Procurement Of A Contract For The Preventive Maintenance Of Ipophl Network And Ip Pbx Equipment Will Ensure That The Equipment Is In Good Condition And To Provide Continuous Connectivity Of Endpoint Devices To The Local Area Network (lan) And Stable Communication Within Ipophl And Incoming And Outgoing Calls. Ii. Scope Of Work: The Project Shall Cover The Preventive Maintenance Of Ipophl Cisco Network Equipment Which Includes The Following: • Engagement Of A Service Provider Authorized By The Network Manufacturer To Undertake A 1-year Preventive Maintenance Works With A Service Level Agreement (sla) Which Defines Service Response Times, Maintenance, Repair, Replacement, Reporting Etc. • Provide Preventive Maintenance On A Quarterly Basis • Provide Troubleshooting, Repair And Hardware Parts Replacement Within The Next Business Day (nbd) Upon Receipt Of A Confirmed Faulty Unit. Iii. Service Provider Qualifications: The Service Provider Must Have The Following Qualifications In Providing The Necessary Services Required By Ipophl: • Service Provider Shall Have At Least Seven (7) Years’ Experience In Providing After Sales Support Of The Same Network Equipment Of The Ipophl. • Service Provider Shall Be Authorized By The Network Equipment Manufacturer To Provide After Sales Support To Be Supported By A Certification From Their Local Office. • Service Provider Shall Have The Following Certified Technical Support Engineers Who Are Regular And Locally Based Employees But With Ample Experience In Maintaining The Equipment: - At Least Two (2) Expert-level Network Engineer - At Least Three (3) Network Professional Engineer - At Least Two (2) Network Associates For Routing And Switching - At Least Two (2) Network Associates For Wireless - At Least Two 92) Network Associates For Voice A Copy Of The Valid Certification, Resume And Company Ids Should Be Submitted. • Service Provider Shall Submit At Least 2 Clients Enrolled In A Cisco Maintenance Agreement Services. Copy Of The Contract Should Be Submitted. • Service Provider Must Have Support Services Available 24x7 Via Phone Or Email With A Response Time Of 4 Hours. Procedures On Support And Problem Escalation Should Be Submitted. Iv. Service Provider Deliverables: The Service Provider Shall Be Responsible For The Performance Of The Services As Follows: 1. Corrective Maintenance • Service Provider Shall Immediately Attend To Service Calls Of The Ipophl By Providing Immediate Telephone Support To Diagnose And Remedy The Reported Incident. A 24-hour Telephone Service Must Be Available At All Times. • Deployment Of An On-site Engineer, If The Incident Cannot Be Resolved. • Supply The Necessary Spare Parts For The Purpose Of Maintaining The Equipment Listed In Annex "a". Spare Units May Be Brand New Units Or Refurbished That Are In Good Working Condition. 2. Hardware Support • In Case The Equipment Is Found Faulty And The Same Needs To Be Pulled Out By The Service Provider For Return Material Authorization (rma) Request To Cisco, A Service Or Replacement Unit Of The Same Or Alternative Specification As That Of The Malfunctioning Equipment Shall Be Provided While The Faulty Equipment Is Undergoing Rma. Service Provider Shall Shoulder All The Costs Related And Shipment Of The Equipment Subject To Rma. • Service Provider Guarantees That It Will Be Returned And Reinstalled Fit-for-use To Ipophl Within Next Business Day (for Psrt Enrollment) And Within 4 Hours (for Psup Enrollment) Starting From The Date The Said Equipment Was Pulled-out. Should Service Provider Fails To Return Or Re-install The Equipment Within The Said Period, The Service Unit Provided By The Service Provider Shall Become The Property Of The Ipophl And The Pulled-out Defective Equipment The Property Of Service Provider, Provided That The Service Unit Shall Have All The Warranties Of A Brand New Unit. • Parts Replacement Service Level For Rma Will Take Effect Thirty (30) After The Commencement Of The Contract. 3. Software Support • For Any Fault Call Regarding Software Concerns, Service Providers Will Send A Technical Staff On-site To Do Trouble-shooting And Fault-fixing. If Required, Available Software Patching For Bug-fixes Provided By The Principal Will Be Done. • Provision Of Regular Updates Of Fault Rectification. 4. Preventive Maintenance Service Provider Shall Perform A Routine Quarterly Preventive Maintenance Program On The Equipment Listed On Annex "a". The Scope Of Preventive Maintenance Activity Is As Follows: A. General Check-up Of The Equipment Or Hardware Covered Under This Agreement. B. General Check-up On Any Program Or Software Used In The Operation Of Any Equipment Or Hardware Provided By Service Provider; C. Conduct A Complete Diagnostic Routine Within The System. V. Contract Term: • Effectivity Of Contract Will Be One (1) Year From Confirmation Of The Notice To Proceed. Vi. Payment Terms: • Payment Will Be Made Quarterly (four-time Payment) Upon Submission Of Completion Report Duly Accepted, Signed And Certified By The Mis Director Of His/her Designated Representative After Every Scheduled Preventive Maintenance.
