The request for tenders for an agreement concerning project management and facilitation of tasks associated with the implementation of Lærfest. The client is holding Lærfest on behalf of the Center for Teaching Materials Denmark (CFU), which is a large physical trade and sales fair about schools, teaching materials and good teaching. You can experience the following at Lærfest: • Lectures • Exhibitors presenting their offers • Publishers' presentations on teaching materials • School projects • One-day conference, debates Lærfest is held annually and is held alternately in Jutland and Zealand. Lærfest on Zealand is held under the auspices of CFU Denmark, and the present task therefore concerns exclusively Lærfest events on Zealand. Lærfest 2024 took place in the Bella Center and was held over two days. The vision behind Lærfest is to bring together the world of education, inspire and provide opportunities for networking across the country and across needs from daycare centers to youth education. It is expected that the tenderer is attentive to supporting this vision. In 2026, Lærfest is expected to have approximately 250 exhibitors. It is noted that the number of exhibitors varies from year to year, which is why the exhibitor volume is only indicative and therefore cannot be taken as an expression of a guaranteed future number. Lærfest 2026 will be held in the Bella Center. The role and tasks of the consultant: The client offers its need for consultancy services in connection with the planning, project management and implementation of Lærfest. The implementation of the Lærfest is carried out in three consecutive, but interconnected, phases: • Before the Lærfest (planning) • During the Lærfest (implementation) • After the Lærfest (evaluation) In the phase "before the Lærfest", the consultant plays a central project management role in the establishment of the Lærfest and has considerable freedom of action for "eventmaking" in this phase, however, under the overall management of the client. This phase also includes the consultant's practical construction of the exhibition stands, as well as the preparation of the exhibition area. In the phase "during the Lærfest", the consultant is available and facilitates and serves both visitors, exhibitors and the client by solving minor ad hoc tasks and the practical challenges that may potentially arise during the two days the Lærfest is being held. In the “after the Lærfest” phase, the consultant dismantles and transports away the exhibition stands, fixtures, products and equipment and coordinates all practical matters in connection with this. As mentioned above, the consultant has an active and very significant role in all three phases of the project and the “eventmaking part” itself for the exhibitors and visitors at the fair. The consultant’s role is essential, as it includes overall project management in close collaboration with several of the client’s employees, as well as direct contact with the exhibitors at the Lærfest. It is expected that the consultant at the Lærfest is service-minded in relation to the exhibitors, so that the exhibitors at the Lærfest as well as the client can concentrate on ensuring that the visitors get the most out of the Lærfest. Planning: The “before the Lærfest” phase from the conclusion of the contract to the holding of the Lærfest extends, based on experience, over approximately 2 years. Therefore, the planning of the 2024 Lærfest has been underway since spring 2023. However, it is noted that the “pre-Lærfest” phase initially does not require many resources from the supplier. Lærfest 2024 took place in the Bella Center and was held over two days. Table 1.5.2 of the conditions for obtaining offers contains a schematization of the recurring, general activities that are part of the planning work for the Lærfest. The aspects mean that continuous work is being done on holding the Lærfest for the current year, the coming year, and two years into the future. Special conditions: The consultant must have the opportunity to store the stand materials that an exhibitor has had specially designed by the consultant - for use at the next Lærfest. In addition, the consultant will supply the walls of the exhibition stands for the construction of the exhibition stand and the standard equipment to those of the Lærfest exhibitors who may wish to do so. Immediately before the start of the trade fair, the consultant builds and prepares the entire exhibition area, including the construction of the individual exhibition stand for the exhibitor. For those exhibitors who wish to do so, the consultant also installs the standard equipment that is included in the exhibition stand that the exhibitors purchase. It is noted that the scope of materials and equipment depends on the number of exhibitors, and thus varies from year to year. It is also pointed out that some exhibitors themselves supply materials for, and undertake the construction of, their own exhibition stands. It is pointed out that the consultant is not guaranteed that exhibitors will choose to have their standard equipment installed by the consultant. Exhibitors own their own equipment for the construction of exhibition stands, or rent their equipment from another supplier. Five (5) weeks before the start of this year's Leather Fair, exhibitors will be able to place orders, and the Consultant will at this time be clear about the scope of exhibition stands to be built as well as how many exhibitors may wish the Consultant to install standard equipment in the exhibition stands. It is noted that the Consultant can only invoice for the installation of standard equipment in relation to the actual number of m2 that the Consultant installs standard equipment in. Contract Appendix 4 - History - Provides an overview of the scope of materials and equipment used at the Leather Fair held in 2024.
