Description Office Of Industry Manpower Development Technical Specifications (services Of Event Organizer) I. Project Title: Fbse Celebration Of Love: Mabuhay At Salamat Po! Ii. Background And Project Description The Filipino Brand Of Service Excellence (fbse) Program, Conceptualized In 2013, Stands As A Pivotal Initiative Within The Department Of Tourism's (dot) Strategy To Elevate And Propagate The Exceptional Filipino Hospitality. Aimed At Refining The Quality Of Tourism Services And Showcasing The Renowned Warmth Of Filipino Hospitality, The Fbse Program Has Undergone Substantial Evolution And Expansion Since Its Inception. Over The Years, It Has Trained A Substantial Number Of Stakeholders, Enriching Their Skills And Knowledge To Contribute Positively To The Tourism Industry. With A Comprehensive Approach Encompassing Training, Empowerment, And Recognition, The Fbse Program Has Evolved Into A Vital Component Of The Tourism Landscape. The Fbse Program Has Directly Influenced The Skills And Competencies Of Tourism Frontliners And Stakeholders Across The Nation. Geared Towards Its Goal Of Training 100,000 Tourism Frontliners And Stakeholders Under The Fbse 100k Program, The Dot's Office Of Industry Manpower Development (oimd) With The Support Of The Dot Regional Offices Has Embarked On Massive Trainings To Reinforce The Program's Impact. With This Endeavor, The Dot-oimd Has Trained A Total Of 121,296 As Of 30 November 2023. To Celebrate This Milestone And Recognize The Laudable Service Of Our Fbse Trainers And The Support Of Our Partner Institutions And Establishments, An Appreciation And Recognition Activity Will Be Held. Further, The Activity Will Likewise Launch The Fbse Module Version Iv Among The Pool Of Trainers. 1. Target Participants : 150 Onsite And 35 Online Participants Comprising Of Fbse Master, Core And Regional Trainers, Partner Institutions And Establishments And Dot Officials 2. Date/period Covered : December 12, 2023 Iii. Objectives • To Give Recognition To Fbse Pool Of Resource Speakers And Partner Institutions And Establishments; • To Give An Opportunity For Networking And Sharing On Best Practices • To Launch The Fbse Module Version Iv Iv. Minimum Requirements • Must Be An Experienced Event Organizer • Must Have Previously Conducted And Facilitated Virtual//hybrid Events; And • Must Be Flexible To Make Adjustments In Schedules And Timelines If Necessary. V. Scope, Coverage And Deliverables 1. Host And Facilitate The Conduct Of The Fbse Celebration Of Love: Mabuhay At Salamat Po! Recognition Gathering To A Maximum Of 150 Onsite And 35 Virtual/online Participants In The Identified Hotel/venue Of The Oimd. 2. Provide Zoom Platform/webinar Subscription For The Virtual/online Participants. Any Excess Mbps Internet Requirement More Than The Hotel Allowance Will Be For The Account Of The Service Provider. 3. Meet With The Oimd To Clarify The Purpose, Objectives And Deliverables Of The Program Expectations. 4. Provide 200 Pieces Of Plaques Which Design And Specifications Will Be Provided By The Oimd. 5. Provide Courier Services For Door-to-door Delivery Of Plaques And Tokens To Metro Manila Guests And Participants Who Were Not Able To Attend The Live Event. 6. Provide A Team To Handle Production And Coordination That Includes: 5.1 Stage And Program Management 5.2 Venue Set-up 5.3 Documentation And Photography (photos And Video Recording Preferably With Same Day Edit) A. Pre-event 7. Establish The Team Of Technical Personnel Required For The Production Including Ingress And Egress Team, Director And/or Stage Manager, Scriptwriter, Production Assistants, Etc. 8. Prepare Program Flow Of The Event After Meeting/discussions With The Office Of Industry Manpower Development. 9. Prepare Script Based On The Program Discussed And A Detailed Program Scenario Of The Event To Be Approved By Oimd. 10. Pre-work Materials To Be Designed And Disseminated To Target Participants E.g. Invitation Poster/art Cards And Other Publication Materials That Will Be Used In The Email Invites To Participants/oimd Guests List, And Social Posting To Promote And Communicate Event Programs. 11. Prepare Registration And Webinar Link Notices To Participants In Coordination With Oimd. 12. Engage And Pay The Services Of Banda Kawayan Pilipinas And Oimd Identified Singer To Provide Music Before The Program Proper, Opening Ceremony And During Dinner Reception. 13. Coordinate With Venue For Stage Set-up, Ingress And Egress. B. Actual Event 14. Provide Experienced Technical Crew And Appropriate Equipment Relative To The Needs To Execute A Successful Hybrid Event To Include But Not Limited To: • Professional Sound System With Broadcast Output Mix • Professional Lighting System For Live And Broadcast • Video Led Wall And Visuals • Video Streaming And Broadcast 15. Ensure All Required Audio-video Equipment And Other Technical Requirement Is Available And Functioning. 16. Document The Activity In Video Recording/photos With Possible Same Day Edit 17. Manage The Zoom Admission Of Participants. Handle Back-end Operations Of The Webinar To Ensure Seamless Broadcast. 18. Provide Meals For Production, Technical Staff And Performers. 19. Ensure That All Production, Technical Staff And Performers Are Fully Vaccinated C. Post-event 20. Prepare Post Program Report (terminal Report) With Analytics For Submission To Oimd Within Seven (7) Working Days After The Actual Event. Vi. Project Duration Will Commence Upon Issuance Of Notice Of Award Until 21 December 2023 Vii.
