Description Procurement Of Services Re: Annual Maintenance Of Aircon Units Of Penro Leyte, Brgy. Baras, Palo, Leyte. 34 Units Split Type 3 Tons Floor Mounted Kolin Air-condition 4 Old Building Penro Split Type 3 Tons Floor Mounted Everest Brand Inverter Type 4 Penro Main Building Split Type 2.0 Hp Wall Mounted 2.0 Hp Split Type Inverter 2 Penro Main Building And Planning Section Split Type 1.5 Hp Wall Mounted 1.5 Hp Split Type Inverter 13 Penro Main Building And Records Building Split Type 1.0 Hp Wall Mounted 1.0 Hp Split Type Inverter 5 Penro Main Building And Penro Leyte Hostel Window Type Air-condition Window Type Aircon 2 Hp 4 Old Building Penro, Planning, Window Type Air-condition Window Type Aircon 1 Hp 2 Rescue And Records Building Total Number Of Air-conditioning Units 34 A. Supplier Service Support The Supplier Shall Be Responsible For The Maintenance Of All The Air-conditioning Units To Ensure It Is In Good Working Condition For The Contract Duration Which Is One (1) Year January To December 2024. This Maintenance Includes Regular/scheduled Cleaning Of The Aircon Units Which Is Every Four (4) Months Or 3 Times Per Year As Follows: 1. Quarterly Maintenance Activities, But Not Limit To: General Cleaning Using Power Wash Of Power Spray; Check & Clean Air Cooled Condenser; Check The Operation Of The Refrigeration System; Check All Electrical Wirings And Fuse Boxes; Check And Clean Air Filters And Recommend For Replacement; Check Supply Voltage Check And Clean Evaporator Coils; Check And Clean Fan Blades, Fan Motor, And Motor Bearings; Check Operating Pressures; Recharging Of Freon, If Needed. 2. Other Defects/problems Other Than The Maintenance And Clean-up Will Be Charge To Another Voucher Such As Follows:  Capacitor Replacement  Board Replacement  Other Parts To Be Replaced B. Notice Of Award, Contract Signing And Notice To Proceed The Head Of The Procuring Entity Shall Notify The Winning Bidder Within Three Days Upon Determination By The Bids And Awards Committee Thru Bac Resolution Recommending Notice Of Award. The Contract Shall Be Prepared For Signature Of The Parties Involved And Immediately Thereafter, Notice To Proceed Shall Then Be Issued. The Period Of Maintenance Shall Only Commence Upon Issuance Of Notice To Proceed Which Shall Not Be Later Than 5 Days From The Receipt Of The Notice To Proceed. C. Payment The Procuring Entity Shall Notify The Supplier For Any Discrepancy In The Billing Statement And Within Two Days, The Latter Must Clarify The Same Otherwise, It Shall Be Deemed Final. Payment Shall Be Made Every Four (4) Months Or 3 X / Year Upon Receipt Of The Billing Statement Submitted By The Supplier. D. Other Conditions The Contract Shall Remain In Effect For One (1) Year From January 2024 To December 2024 Otherwise Terminated For A Cause By The Parties And Only Upon Prior Written Notice To The Other Party.
