1.5 Partial agreements – “divide or explain principle” As it is the contracting authority’s assessment that dividing the agreement into partial agreements will not provide the commercially best solution, this agreement is not divided into partial agreements. 1.6 “buy green or explain” principle In this tender, the contracting authority has assessed that requirements are made for green/sustainable solutions. 1.7 Description of the tender Description of the tender Background The University City is Aarhus University’s new city-integrated campus, where large parts of Aarhus BSS will have a central location in the near future. Aarhus BSS is the Faculty of Business and Social Sciences at Aarhus University (au), which will move into the University City during the autumn/winter of 2025/2026. The University Village housed the Aarhus Municipal Hospital until 2019, when the Research Foundation's property company (FEAS) took over the buildings and is now working with AU to rebuild and renovate the hospital buildings so that they become an integrated part of AU. Easy access via passage The University Village is connected to the other departments in the University Park via the passage under Nørrebrogade, so it is easy to get from one place to another. Cross-functional collaboration When five out of six departments from Aarhus BSS come together in the same place, it creates an environment where students and employees can thrive and develop together. It also provides the opportunity for better collaboration across disciplines, and hopefully it can also inspire and attract new, skilled and committed students and employees. A Unified Aarhus Bss Overall, the University City and the University Park give Aarhus Bss one common, unifying campus in Aarhus that can strengthen the interaction of both students and researchers with the other faculties and the university, as well as external partners. Design and Inventory Manual In connection with the preparations for moving into the University City, Aarhus Bss, in collaboration with the architectural firm Transform, has drawn up a Design and Inventory Manual that aims to create a design and quality direction when choosing colors and purchasing inventory for the University City. It is aimed both at moving in upon completion of the buildings and at later purchases when resources and needs arise. The Design and Inventory Manual is a guideline that ensures a strong focus on the overall experience and quality of the interior, in good harmony with the stringent expression of the building mass in the University City. Work has been done on a clear plan for the use of recycled and upcycled furniture, as well as the purchase of new furniture in a high quality design and material. The design manual also provides a good basis for sustainable, aesthetic and functional solutions that have a long lifespan and are easy to operate. Through the design manual's overall strategy for interior design, furniture, colors and materials, it is also a desire that the furniture can be used across rooms, buildings and departments, thereby ensuring the best possible coherence and flexibility in the project. Purpose of the tender The purpose of the present tender is to obtain a framework agreement that ensures contractual coverage of the client's needs for fixed furniture in connection with the move into the university town and the further campus development in the university park. It is expected that the tender will secure fixed furniture at good prices and quality. Initial Procurement Aarhus BSS will vacate the entire Fuglesangs Alle campus at the end of 2025 and move the majority of its activities to new premises in the university town, approximately 3 km away. The move will take place in two stages in November 2025 and January 2026. It is therefore a requirement that the supplier can allocate the necessary resources to carry out this task and deliver the specified equipment on time. This tender concerns the replacement of the Copenhagen Libraries' central sorting facility, which is located in Albertslund and serves all 20 Copenhagen public libraries. The sorting facility sorts and distributes library materials to the libraries and the material hotel, which is also located in Albertslund, in the same building as the sorting facility. The central sorting facility consists of 100 returns (of which 24 were purchased approximately 5 years ago) and sorts approximately 3 million library materials annually. The supplier must deliver a solution that supports the above business needs. In addition to IT support, the solution must include support, maintenance, operation and training. The contract also includes consulting services, including development services, as the customer may potentially need to be able to continuously agree on extensions and further development of the solution in line with technological developments as well as political and administrative decisions. The contract is unlimited in time and runs until it is terminated or otherwise terminated.
