Description Technical Specifications I. Project Title : Set-up, And Dismantling Of The Philippine Booth At The Thailand Dive Expo (tdex) 2024 Ii. Project Date : May 14 To 19, 2024 May 16 To 19, 2024 (tdex Proper) Iii. Venue : Queen Sirikit National Convention Center, Bangkok, Thailand Iv. Background • The Thailand Travel And Dive Expo Is An Annual Four-day Expo Established In 2004 To Support The Growth Of The Scuba Diving Industry And Showcase Activities And Equipment Related To Dive Tourism. • The Show Is One Of The Most Recognized Scuba Diving Expos In Asia And Is Marketed As “the Real Business Hub For The Diving Industry,” Registering More Than 80,000 Visitors And More Than 250 Booths From Local And International Dive Companies Including Dive Certifying Schools, Dive Equipment Manufacturers, Underwater Photographer Equipment Manufacturers, Underwater Photographers, Dive Resort Operators And Dive Enthusiasts. V. Objectives The Philippine Department Of Tourism (pdot) Is In Need Of The Services Of A Company Engaged In The Business Of Constructing Booths For Travel And Consumer Fairs For The Philippine Booth At Tdex 2024: • Generate Positive “name Recall” Of The Dive Philippines Brand For The Thailand Dive Market; • Create A High-impact And Interactive Booth Design To Attract And Encourage Consumer, Press And Dive Travel Trade To Visit The Philippine Booth; • Provide A Highly Functional Yet Visually Appealing Area For Philippine Tourism Information, Product Updates, Audio Visual Presentations, Tabletop Business Meetings, And Other Animation Activities. Vi. Minimum Requirements • Must Be Registered With The Philippine Government Electronic Procurement System (philgeps); • Must Have Experience In Rendering Services At International Exhibitions; • Must Have Experience In Dealing With National Tourism Organizations (nto) Preferably The Philippine Department Of Tourism; • Must Have The Capability To Operate In Bangkok, Thailand; • Must Handle And Coordinate With The Organizer The Damage Insurance Fee; • Must Have A Dedicated Team Who Will Focus On The Design And Set-up Of The Philippine Booth; • Must Have The Capability To Invest, Coordinate Shipment To Organizers For The Dive Show, And Assemble And Install Audio-visual (av) Equipment And Furniture Accent Pieces For The Philippine Booth; • Bidders Must Submit Their Quotation With Cost Breakdown To Differentiate The Amount Of Service Fee And The Amount To Be Earmarked For The Payment To The Third Parties Or Other Proprietors. Otherwise, Tax Withheld Will Be Credited From The Total Contract Prize. Vii. Scope Of Work And Deliverables Booth Size And Location Date : May 16 To 19, 2024 (tdex 2024 Show Proper) Venue : Queen Sirikit National Convention Center Booth Space : 54 Sq.m. Street Style (6x6 And 9x2) (please Refer To The Attached Floor Plan) Booth Set-up, Including Furniture And Fixtures Must Reflect The Unique Philippine Diving Experiences And Adhere To The “love The Philippines” Campaign. The Following Specifications Must Be Applied To The Pdot Booth: • One (1) Philippine Information Counter With Lockable Storage Intended For Promotional And Information Materials On Strategic Side Of The Stand With The Followings: O Back Lit Graphic Work (official Dot Logos And Key Visuals) In Appropriate High Print Quality O Two (2) Bar Stools, O Two (2) Brochure Racks; • Electrical Outlets For Laptops/tablets. Provision Of Eleven (11) Information Counters For Each Private Sector Participant Along The Perimeter Of The Philippine Booth With Company/stakeholders Signage/logo, At Least Two (2) Chairs, Electrical Outlet With At Least Two (2) Sockets For Charging, And Lockable Storage Intended For Exhibitors’ Promotional And Information Materials And Personal Belongings; • Three (3) Sets Of Meeting Tables With 2 To 3 Chairs For Table Top Meetings With Thai Industry Stakeholders; • One (1) Mobile Bar Area That Can Serve Free-flowing Filipino Coffee And Hot And Cold Water Dispenser With Ample Supply Of Water For The Duration Of The Expo; • Area For Audio-visual Presentation Equipped With Technical Facilities (i.e., Sound System, Led Tv); • Wireless Internet Connection With A Speed Of At Least 50 Mbps; • One (1) Led Tv (65 Inches) With Usb Connection Capability; • At Least 6 Large-scale Photo Panels (3 To 3.5 Meters In Height) With Underwater Photos (in Appropriate High Print Quality) Taken In Key And Emerging Dive Destinations In The Philippines Featuring Diverse Marine Life (photos To Be Provided By The Dot Opmd-dive); • One (1) Storage Room With The Following: O Cabinet With At Least 4 Lockable Compartments For Personal Belongings; O Cabinet With At Least 4 Shelves For Storing Stock Promotional And Information Materials; O Working Table; O Lockable Doors; O Hot And Cold Water Dispenser With Ample Supply Of Water For The Duration Of The Event; O Trash Bins With Ample Supply Of Trash Bags For The Duration Of The Event. • Strong Lighting In General Areas To Highlight Stand Visibility; • All Exhibition Venue Connections (electricity, Water, And Hanging Banner Suspensions); • Other Necessary Accessories Needed To Achieve The Desired Theme; • Trash Bins With Ample Supply Of Trash Bags For The Duration Of The Event. • Must Be Able To Submit Design For The Booth And Must Allow The End-user To Request For Revision Until The Design Is Approved; • Daily Stand Cleaning And Disinfection Of The Philippine Stand – Before The Opening, Closing, And As Needed; • Stand Set-up And Dismantling Supervision And Stand Maintenance For The Duration Of The Fair. Dismantling Inclusive Of Storage/disposal Of The Aforementioned Booth Parts And Egress On The Dates Designated By The Event Organizer; • Set-up And Installation Of The Aforementioned Booth While Strictly Following The Rules And Regulations Set By The Fair/event Organizer; And • Must Cover The Damage Insurance Fee. Other Requirements: Provide At Least One (1) Project Manager (must Have Experience Managing A Dive-related Event In The Past Five (5) Years) To Plan, Coordinate, Manage, And Oversee The Set Up And Dismantling Of The Philippine Booth And Act As Main Point Contact Between The Company And The Dot Viii. Budget • Total Budget Allocation For The Philippine Booth Is At Nine Hundred Ninety-nine Thousand Pesos (php 999,000.00) Inclusive Of Taxes And Other Applicable Fees. Financial Proposal Should Allow Modifications In Stand And Layout And Design According To The Needs And Requirements Of The End User. • The Winning Bid However Shall Be Determined Based On The Proposal With The Most Advantageous Financial And Design Package Cost, Provided That The Bid Amount Does Not Exceed The Above Total Budget.
